Getting Started

Sign up on the website or mobile app, then create your society profile with name, address, and unit details. A committee member completes verification; after approval you can configure billing and invite residents. The in-app onboarding checklist guides you through each step so setup stays organized.

Most societies finish initial setup in one to three days, including inviting residents. Larger communities or data migrations may take up to a week. You can begin using core features as soon as your society is verified and basic settings are saved.

From the admin dashboard, open Members and send an email invitation, or share your society join code. Residents install the app, sign up, and are linked to the correct flat — a resident who already has a Societly account also gets the invite in the app. For large societies, use the Bulk Import feature — upload your existing spreadsheet and the importer will automatically map columns, validate data, and onboard everyone in minutes.

Yes. We support migration from other society management apps for resident directories, opening balances, and historical records on eligible plans. The smart bulk importer handles any spreadsheet format, automatically detecting columns and cleaning data — no manual reformatting needed. Contact our team to schedule a migration window.

Billing & Payments

Go to Billing settings and define rules such as fixed per-unit charges, area-based slabs, or custom formulas. Set billing cycles, due dates, and invoice templates, then generate invoices in bulk. Automated reminders reduce follow-ups and keep collections predictable.

Residents open Maintenance in the app, view their invoice, and pay with UPI, cards, or net banking. Payments reconcile to the society ledger automatically, and digital receipts are available instantly for their records.

You configure grace periods and penalty rules—flat amounts, percentages, or per-day charges—in billing settings. Late fees apply automatically after the due date according to your policy, so the committee does not need to calculate penalties manually.

Residents pay by UPI, credit/debit card, or net banking, processed securely by our RBI-authorised payment partner and settled directly to your society's own bank account. UPI carries no gateway charge.

Payments are settled to your society’s own bank account through a regulated banking and payment partner. Societly charges no commission or platform fee on your collections — we earn from the software subscription, not by taking a cut of your dues.

Open Finance or Reports and run the defaulter or aging report to see outstanding amounts, overdue days, and flat-wise status. Export or share the list with the committee for follow-up, and use filters to focus on high-balance or long-overdue accounts.

Visitors & Security

Residents register expected visitors in the app with name, purpose, and time window. Guards see approved entries at the gate and can validate arrivals against the list. Real-time updates reduce friction at security while keeping a clear audit trail.

The SOS button sends an urgent alert to designated security and committee contacts with context you configure, such as location or unit details. Use society settings to define who receives alerts and how escalation should work during an emergency.

Guards use a simplified mobile interface to check visitors, log walk-ins, and manage deliveries according to your society rules. Role-based access ensures they see only what is needed at the gate without exposing sensitive financial data.

Yes. Delivery logs record when parcels arrive at the gate, who accepted them, and when residents collect items. Notifications keep residents informed and reduce lost-package disputes.

Amenities & Bookings

Browse available amenities, pick a free slot on the calendar, and confirm the booking. If a fee applies, complete payment in the same flow. You will receive reminders before your slot so schedules stay clear for everyone.

Each amenity can have its own cancellation rules—free cancellation until a cutoff, partial refunds, or no refund after confirmation. Residents see the policy before booking, and eligible cancellations can be processed from the app without admin intervention.

Administrators can attach fees to amenities, collect payments online, and reconcile income with society accounts. Usage and revenue reports help the committee monitor popularity and maintain equipment or facilities.

Staff & Operations

Register staff profiles, assign shifts, and record attendance with supported check-in methods. Reports summarize presence and exceptions for payroll or vendor reconciliation. Export data when you need to share summaries with your HR or facility team.

Maintain a directory of vendors, contracts, and work orders in one place. Track visits, job completion, and payments so the committee has visibility into recurring services such as housekeeping, landscaping, or repairs.

You can register domestic help and align their entry rules with visitor and gate policies. Residents and security share a consistent view of who is expected, which improves safety and reduces disputes at the gate.

Account & Troubleshooting

Open your profile, choose Edit phone, and complete OTP verification for the new number. If you cannot access your old number, contact support from a verified email so we can help you recover your account securely.

Confirm that notifications are enabled for the Societly app in your phone settings and that battery optimization is not restricting background delivery. Also verify your phone number and email in profile settings, since SMS and email alerts depend on correct contact details.

If you are a member of more than one society, use the society switcher on the home screen or profile to change context. Your permissions and data update automatically so you always see the correct community.

Email support@societly.co, message us on WhatsApp from this site, or raise a ticket from the app if available. Include your society name and a short description of the issue so we can route your request quickly.

Society AI (Private AI)

Society AI is your society's private assistant. It answers questions about your dues, bookings, visitors, notices and more, and it drafts things like complaint replies and meeting minutes. It runs entirely on your phone — the model is downloaded to your device, so your questions and the answers never leave it.

Yes. Because the assistant runs on-device, nothing you type and nothing it generates is sent to a server. When it needs facts (like your current bill), it uses the same secure, permission-scoped app data you already see — it never exposes another resident’s information.

The assistant needs its language model on your device to work privately and offline. It is a one-time download (roughly 940 MB) over Wi-Fi. After that it works with no internet connection and no further downloads.

Yes on both. Once set up it works fully offline, and it understands and replies in 14 Indian languages, so residents can ask in the language they are most comfortable with.

Open More → Private AI to download it once on Wi-Fi. You can remove it anytime from the same screen to free up space; re-downloading later restores it. Nothing is lost from your account when you remove it.

Complaints & Helpdesk

Open Helpdesk (or Services → Helpdesk) and tap New complaint. Describe the issue, optionally attach photos, and submit. If Society AI is set up, it can suggest the right category and priority and tidy up the subject for you — you can always change them.

Your Helpdesk list shows your own tickets with a live status (Open, In progress, Resolved) and filters. Open any ticket to follow its timeline, read the committee’s updates, and add comments. Committee members see all tickets for triage.

By default a complaint is private between you and the facility team/committee. Common-area issues can be marked visible so neighbours know it is already reported. You control that when raising it.

Community & Meetings

Community brings together Buzz (neighbourly posts), Notices from the committee, and Events. You can post, react, comment, acknowledge notices, and RSVP to events. What you see depends on your society’s settings and your role.

Upcoming meetings show the agenda, date, time and venue. You can tap "I’ll attend" to RSVP and "Add to calendar" to save it. After the meeting, approved minutes (with decisions and action items) are published for everyone to read.

The committee can run polls for community decisions. You vote in one tap and see live results and the total vote count; some polls are anonymous. Closed polls show the final result.

Documents

Store your own documents (sale deed, agreements, ID, vehicle or pet papers) under "Mine", and read society-shared documents under "Society". Uploads support PDF and images up to 10 MB.

A Verified badge means the committee has confirmed a document against their records. For documents with an expiry (e.g. a vaccination card), you can set a renewal reminder so you are nudged before it lapses.
